1. Overview

ReplyAgent ("we", "us", or "our") provides an AI-powered email response automation service. This Privacy Policy explains how we collect, use, and protect your information when you use our platform at getreplyagent.com.

2. Information We Collect

Account information: When you sign up, we collect your name, email address, and password (stored as a secure hash).

Business information: Information you provide about your business including name, type, services, pricing, phone number, website, and contact email. This is used to configure your AI agent.

Gmail access: With your explicit authorization via Google OAuth, we access your Gmail account to monitor incoming emails, create draft replies, send replies, and mark emails as read. We do not store the full contents of your emails — we process them transiently to generate AI responses and store only the metadata and AI-generated summaries necessary to operate the dashboard.

Usage data: We log basic usage information such as when emails were processed and classified, for the purpose of displaying your dashboard and improving the service.

3. How We Use Your Information

  • To operate and provide the ReplyAgent service
  • To monitor your connected Gmail inboxes for new email replies
  • To classify email intent using AI and generate draft responses
  • To send automated replies on your behalf when configured to do so
  • To send you service-related emails such as welcome messages and password resets
  • To process billing and manage your subscription

4. Gmail Data Usage

ReplyAgent's use of Gmail data is limited to the following:

  • Reading incoming email replies to cold outreach emails you have sent
  • Creating draft replies in your Gmail account
  • Sending replies from your Gmail account when authorized
  • Marking emails as read and removing stars after processing

We do not use Gmail data for advertising purposes. We do not share Gmail data with third parties except as necessary to operate the service (e.g. Anthropic's API for AI classification). We do not allow humans to read your email content except when required for support purposes with your explicit permission.

Our use of Gmail data complies with the Google API Services User Data Policy, including the Limited Use requirements.

5. Data Storage and Security

Your data is stored on secure servers. Gmail OAuth tokens are encrypted at rest. We use industry-standard security practices to protect your information.

We retain your data for as long as your account is active. If you delete your account, your data is permanently removed from our systems.

6. Third-Party Services

We use the following third-party services to operate ReplyAgent:

  • Anthropic Claude API — used to classify email intent and generate draft replies. Email content is sent to Anthropic's API for processing.
  • Google Gmail API — used to access your Gmail inbox with your authorization.
  • Stripe — used to process subscription payments. We do not store credit card information.
  • Resend — used to send transactional emails such as welcome messages and password resets.
  • Slack — if you configure a Slack webhook, we send notifications to your Slack workspace when hot leads are detected.

7. Your Rights

You may at any time:

  • Access and update your account information via Settings
  • Disconnect your Gmail inbox from the Inboxes settings page
  • Revoke ReplyAgent's access to your Gmail account via your Google account settings at myaccount.google.com
  • Cancel your subscription at any time from your account settings
  • Request deletion of your account and all associated data by contacting us

8. Children's Privacy

ReplyAgent is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on the platform. Continued use of ReplyAgent after changes constitutes acceptance of the updated policy.
